Getting started

What is Autocheck?

Autocheck is a cloud-based fleet maintenance, digital inspection and workshop management system for UK commercial vehicle and mixed-asset operations. It brings driver walkaround checks, planned inspections, defect reporting, workshop jobs, asset records and customer reporting together in one place, so you're not relying on paper sheets, spreadsheets or several disconnected tools.

Who is Autocheck for?

Autocheck is built for UK organisations that operate or maintain commercial vehicles, trailers, plant or mixed assets with recurring inspection and defect-control duties. That includes HGV and mixed fleet operators, commercial vehicle workshops, plant and equipment operators, and bus or coach operators, as well as local authorities, larger van and LGV fleets, specialist fleets and owner-drivers.

What kinds of assets can I manage in Autocheck?

Autocheck supports HGVs, PSVs, LGVs, trailers, plant, machinery and other mixed assets. Each asset gets its own record covering identity, documents, inspection history, defects and repairs.

Is there a setup fee?

No, there's no setup fee to get started with Autocheck.

How long does it take to get up and running?

Most customers start by importing or creating their asset records, setting up users and permissions, and building their priority inspection templates, then bring drivers and technicians on in a phased rollout rather than all at once. Your onboarding pace depends on fleet size and how much of your current process needs migrating, and we're on hand to help plan this with you.

Do I need to install anything?

No. Autocheck runs in a modern web browser on desktop, laptop, tablet or mobile, so there's nothing to install from an app store and no dedicated hardware needed for every user.

Features and what's included

What's included as standard?

The Standard package covers PC, mobile and tablet access, fleet maintenance, DVLA integration, inspections and PMIs, job scheduling, customer management, asset management, and driver walkaround checks.

What's included in Premium?

Premium adds parts and inventory management and hire-desk tools, for operators who need to connect stock and cost to maintenance work, or track hired-in and hired-out assets alongside their upkeep.

Can drivers complete checks on their phone?

Yes. Drivers complete walkaround checks from a phone or tablet using custom checklists for each asset type, with photos, video and notes where needed. Nil-defect checks are recorded automatically, and anything flagged is routed straight into the workshop workflow.

Can I build my own inspection templates?

Yes, you can build custom inspection templates for weekly checks, six or eight-week PMIs, LOLER and MOT preparation, with no limit on the number of templates you create.

What does DVLA integration do?

Adding a vehicle registration pulls back make, model, engine code, VIN, MOT and tax information automatically, cutting down manual data entry and keying errors. Driver licence checks, covering licence validity and endorsements, are also available as an optional add-on with a separate charge.

Can I share reports with customers?

Yes. If you manage maintenance on behalf of other fleets, Customer Management lets you build customer profiles, generate branded PDF reports with timestamps and defect media, and send them directly, giving your customers a professional audit trail without extra admin.

Does Autocheck integrate with telematics, accounting software or other systems?

Autocheck's core strength is bringing driver checks, inspections, defects, jobs and asset records together in one system. If you need a specific integration with another platform, get in touch and we can talk through what's possible for your setup.

Is there a limit on users, vehicles or templates?

The standard commercial model does not charge by user, vehicle or custom inspection template. Contract terms and reasonable technical use still apply.

Compliance and DVSA

Is Autocheck DVSA approved?

Autocheck is not DVSA approved or certified — DVSA does not operate an approval scheme for maintenance software in that sense. Autocheck is designed in line with the DVSA Guide to Maintaining Roadworthiness, which confirms that electronic record systems are an acceptable way to manage inspections, maintenance scheduling and defect reporting, provided the records are complete, accessible and secure.

Are electronic inspection records acceptable to DVSA?

Yes. The DVSA Guide to Maintaining Roadworthiness confirms that electronic maintenance systems can provide effective management of safety inspections, maintenance scheduling and driver defect reporting, provided the required information is complete and available. Autocheck supports the records and workflows used in a well-managed maintenance system, but the operator remains responsible for ensuring checks are meaningful and inspectors are competent.

Is Autocheck Earned Recognition approved?

Autocheck is not currently listed as an integrated DVSA Earned Recognition system. Its detailed inspection and maintenance records can support an operator's wider preparation for Earned Recognition, but this is not the same as formal DVSA integration or approval.

Is Autocheck FORS approved?

No. Autocheck is not currently FORS approved.

How long are records kept for?

Autocheck keeps maintenance records securely available for long-term retrieval, well beyond the 15-month minimum DVSA expects for safety inspection and defect records. Exact retention, export and deletion terms are governed by your customer agreement and our data processing terms.

Does Autocheck provide a full audit trail?

Yes. Every inspection, job and defect is linked to a named user with a timestamp, giving you a clear record from the initial check through to rectification and sign-off. This helps you prepare evidence for audits and roadside checks, though the operator remains responsible for confirming records haven't been misleadingly altered and that the underlying process is followed correctly.

Can Autocheck store brake and tyre evidence?

Yes, you can record tyre condition, tread depth, pressure and age, and store brake test data either entered manually or attached as a photo or PDF, with fields aligned to HGV, PSV, LGV and small-trailer example forms. Autocheck stores this evidence; it does not calculate or validate brake performance itself, so an appropriate test method and competent interpretation are still needed.

Data, security and pricing

Where is my data stored?

Your data is stored on UK servers. Any transfer of data outside the UK or EEA only happens where a valid legal safeguard is in place. See our Privacy Notice for full detail.

Is my data secure?

We use access controls and user authentication, including multi-factor authentication, alongside staff policies and training on internal IT and network security. If you need a fuller security or due-diligence pack for procurement, get in touch and we can talk through what's needed.

How much does Autocheck cost?

Autocheck runs on a fixed recurring subscription rather than charging per user, per vehicle or per custom inspection template. Because pricing depends on your fleet, package and requirements, the best way to get an accurate figure is to book a demo or contact us directly.

Is there a contract, or can I cancel any time?

Contract terms are agreed individually and set out in your signed quotation and terms of service. Speak to our team about the options available for your business.

Who owns my data if I stop using Autocheck?

You remain the owner of your data. Our data processing terms set out how data is returned or deleted at the end of a contract; see our Data Processing page for the full agreement.

What support is included?

Will my team need training?

We recommend short, role-based training sessions for drivers, technicians and administrators as part of onboarding, plus a phased rollout starting with one depot, vehicle group or customer cohort before extending to the rest of your fleet. This keeps the change manageable and gives you a chance to fix any template or permission issues early.

Can I book a demo before deciding?
