How to create new reason codes
Reason codes are an integral part of the AutoCheck platform, serving as shorthand for common operational reasons that need to be communicated swiftly within the garage or motor-factor environment. These codes are pre-defined within the system and can be associated with a variety of operational statuses or actions.
The “List Reason Codes” page displays all the available codes in a simple, clear format. Each entry consists of a ‘Name’, ‘Code’, and ‘Type’, which categorize the code for easy identification and application. For instance, a mechanic taking a break may use the ‘On a break’ reason code, which is succinctly coded as ‘break’. This allows all team members to understand the status of a job at a glance without needing lengthy explanations.
Reason codes are predominantly used to:
Pause a Job: When a technician needs to temporarily stop work, perhaps for a break or to wait for parts, they can pause the task and attach a corresponding reason code, like ‘break’.
Handover a Job: If a task needs to be handed over to another technician or shifted to the next shift, a reason code can be used to indicate the changeover.
Highlight Issues: Should a fault be identified during a service, a ‘Fault Identified’ reason code ensures that this is communicated quickly and clearly to service advisors and customers.
This system not only improves the efficiency of communication within the service team but also enhances the transparency of operations for customer service representatives, allowing them to provide timely updates to customers about the status of their vehicle service or repair.
In summary, reason codes act as a universal language within the AutoCheck platform, ensuring that common reasons are communicated effectively, work statuses are updated promptly, and operational workflows are maintained without interruption.
